Position Summary
The Muncie Arts and Culture Council (MuncieArts) seeks a highly organized, mission-aligned Administrative Coordinator to help strengthen the organization’s day-to-day operations, financial systems, and administrative infrastructure during an exciting period of growth. This position plays a central role in supporting organizational effectiveness, ensuring operational continuity, and helping create a warm, welcoming environment for artists, partners, residents, and visitors.
The Administrative Coordinator will oversee core administrative and operational functions including financial coordination, technology and office systems management, executive and board support, records organization, and future facility coordination. The ideal candidate is detail-oriented, adaptable, collaborative, and energized by the role arts and culture play in strengthening communities.
This position is ideal for someone who enjoys building systems, improving processes, supporting leadership, and contributing to a mission-driven organization that champions arts, culture, creativity, public art, and community engagement.

Compensation & Benefits
Salary range: Up to $20 per hour annually, commensurate with experience.
On average 35 hours per week; may fluctuate on work volume and community needs.
Employees are eligible for a medical reimbursement of up to $400, based on qualifying factors.

Key Responsibilities
Financial & Administrative Management
Support organizational financial management processes including invoice tracking, expense documentation, vendor coordination, reimbursements, and financial file organization.
Assist with budget tracking, reporting preparation, and administrative coordination related to grants and organizational finances.
Maintain organized digital and physical records systems.
Help strengthen internal operational procedures and office workflows.
Coordinate purchasing and inventory of office supplies and operational materials.
Operations & Technology Coordination
Oversee daily office operations and administrative systems.
Coordinate organizational technology needs including phone systems, shared files, password management, software subscriptions, and basic troubleshooting coordination.
Support the implementation and maintenance of operational systems that improve organizational efficiency and communication.
Assist with operational planning as the organization grows, including future facilities coordination and maintenance oversight.
Executive & Board Support
Provide administrative support to the Executive Director and organizational leadership.
Coordinate scheduling, meeting logistics, agendas, and follow-up materials for board and committee meetings.
Prepare and organize board packets, documents, and meeting records.
Support internal communications and organizational coordination across programs and partnerships.
Community & Office Experience
Help cultivate a welcoming, professional, and community-centered office environment.
Serve as a friendly point of contact for artists, community members, partners, and stakeholders.
Support organizational events, meetings, and community engagement activities as needed.
Demonstrate enthusiasm for arts, culture, and community development.
Required Qualifications
1–3 years of professional experience in office administration, operations, nonprofit support, customer service, or related fields.
Demonstrated transferable skills relevant to office management and organizational coordination.
Strong organizational skills and attention to detail.
Ability to manage multiple projects and priorities independently.
Strong written and verbal communication skills.
Comfort learning and using technology systems and digital tools.
Willingness to complete a personality assessment as part of the hiring process.
Must pass a standard background check.
Mission and community-driven
Preferred Qualifications
Bachelor’s degree preferred.
Previous administrative coordinator, office manager, and/or operations support experience.
Familiarity with Google Workspace (Docs, Sheets, Drive, Calendar, Gmail, etc.) and Quickbooks.
Experience supporting nonprofit organizations, executive leadership, or board operations.

Note: The position is grant supported for one year, however MuncieArts is committed to continued funding.
